Launch and getting started
When does the new experience launch?
The new quoting, application, and policy administration experience opens Monday, November 2, 2026. The technical transition begins Friday, October 30.
Avoid new quoting, applications, and binding from 5:00 PM October 30 to 8:00 AM November 2. Contact your Underwriter in advance for time-sensitive business.
Where do I go on November 2?
Start in the Farmers Fire Agent Portal. It will direct you to the right experience for each quote or policy. Keep your existing bookmark; you do not need to track which system holds a policy.
Automatic payments & billing
Will existing automatic-payment plans transfer?
We are working to transfer as many automatic-payment arrangements as possible, but some policyholders will need to re-enroll.
Our banking partner transfers stored payment information quarterly for policies expected to transition in the coming quarter. With renewal terms created about 60 days before their effective date, payment information may move several months before the first payment is due.
What happens if a policyholder changes their automatic-payment method before their policy transitions?
It depends on whether the payment information has already been transferred:
- Before transfer: the previous payment information will not transfer. The renewal declaration page will instruct the policyholder to re-enroll for the new term.
- After transfer: changes in the current system will not update the information already transferred. The first renewal payment may use the payment method on file at the time of transfer.
Because transfers can happen months before renewal, changes during this period can affect the new term’s automatic payments.
How will a policyholder know if they need to re-enroll in automatic payments?
Their renewal materials will include re-enrollment instructions if payment information cannot carry forward. Agents do not need to check this manually for every policy.
Is the timing of monthly automatic payments changing?
Yes. In the new system, monthly automatic payments draft 30 days in advance. All other payment plans draft as they do today. This creates a one-time timing change for monthly automatic payments that transfer successfully.
Why might a policyholder see two automatic payments within a few days?
For monthly automatic payments, the final payment for the 2026 term may process in the current system only days before the first payment for the 2027 renewal processes in the new system, which drafts 30 days in advance.
These payments apply to different policy terms; they are not duplicates. Explain this distinction if a policyholder asks about both transactions.
Is the payment mailing address changing?
Payment instructions change as each policy moves to its new term, so they may differ by policy during the transition. Follow the address on the bill or payment coupon for the applicable term.
What about policyholders who use their bank’s online bill-pay service?
Policyholders may need to update the mailing address used by their bank’s bill-pay service, including services that mail checks automatically. Use the remittance address on the new term’s bill or payment coupon.
Account access & sign-in
Do I need to set up Single Sign-On?
Yes. Complete Single Sign-On (SSO) setup by October 28, 2026. Starting that day, setup is required before you can use the rest of the portal and cannot be postponed.
Microsoft Entra ID is the service behind our SSO. It verifies your identity; portal screens may call it “Entra” or “FFIC Entra.” This is the sign-in you need for quotes and policies in the new experience.
Enter your portal email on the sign-in page and select Continue. Connected accounts go to Microsoft. Otherwise, use your current portal password to begin setup while password sign-in is available. Each agent needs an individual portal account and email; do not use shared accounts.
Will my old username and password stop working on November 2?
Portal password sign-in ends January 1, 2027, at 12:00 a.m. Eastern Time, when all sign-ins must use SSO.
The October 28 setup requirement is separate: until the password cutoff, unconnected accounts can use a portal password to complete setup, but cannot access other portal pages. Connected accounts go to Microsoft sign-in.
Finish setup and confirm sign-in before launch. A password reset will not restore portal password sign-in after the cutoff.
How do I set up Single Sign-On?
Sign in to the portal and select Email me an invitation. Open it in your portal email inbox, accept access, and follow Microsoft’s account and verification prompts.
Then finish Microsoft sign-in with the same email. Your matching portal account connects automatically. Farmers Fire employees should use their existing Farmers Fire Microsoft account.
Follow the Single Sign-On setup guide for steps and screenshots.
What if my invitation does not arrive or has the wrong email address?
Check junk or spam, then select Resend invitation on the setup page (once per minute).
If the address is wrong or the email still does not arrive, call Farmers Fire at 717-751-4435. Do not create a second portal account.
I accepted my invitation. Why do I still see setup?
Accepting the invitation is only one step. Select I’ve accepted my invitation — sign in on the setup page and finish Microsoft sign-in with your portal email.
Your profile will show Connected. If setup remains incomplete, contact Farmers Fire with your portal email and the error message.
Which email address should I enter, and why might the field be blank?
Use the email on your individual portal account. A blank field is normal: it may fill automatically only if the portal already has a verified SSO session for you. Signing in to Microsoft in another tab does not guarantee this.
Enter your email and select Continue. Use Change email on the password screen to correct it. If Microsoft selects the wrong account, choose another account or try a private browser window.
What if password sign-in has ended and I have not finished setup?
Complete your invitation, then use SSO with your portal email. If you have no invitation or cannot finish, call Farmers Fire at 717-751-4435.
For verification problems with an agency-managed Microsoft account, contact your agency’s IT support. Never share passwords, verification codes, or setup QR codes.
New & existing business
What happens to new business?
From November 2, new quotes and applications use the new experience. The screens and steps will change, but most of the information you provide will stay the same.
Is the underwriting process changing?
No significant change is being made to the underwriting model.
- Commercial and Dwelling Fire: continue submitting to Underwriting for quote and bind.
- Homeowners: eligible risks continue to support straight-through processing and agent binding.
What happens to quotes or applications I already started?
Pending quotes and applications entered within the 30 days before cutover will be recreated for you. You do not need to re-enter them.
Items older than 30 days must be resubmitted. Contact your Underwriter for help.
What happens to existing policies?
Existing policies move gradually as their 2027 renewal terms are offered, about 60 days before renewal. They do not all move on November 2.
Until a policy transitions, endorsements, cancellations, and reinstatements stay in the existing experience. Future servicing moves to the new experience after transition. The Agent Portal directs you to the right place.
Will I sometimes work in both experiences?
Yes. New business and policies that have transitioned to a new renewal term use the new experience. Policies awaiting transition stay in the current experience.
Always start in the Agent Portal; you do not need to track the system yourself.
Can agents perform endorsements themselves?
Yes. Agent self-service endorsements are available at launch for policies in the new experience. See the short endorsement guide in agent training.
Policies that have not transitioned follow the current servicing process.
Policyholder portal
What happens to policyholder online access?
Policyholders move to the new self-service portal as their policies transition. Their renewal documents will explain how to register using their policy number and mailing address.
The new portal provides payments, claims, policy documents, and certain self-service requests. Policyholders do not all need a new account on November 2.
Does every policyholder need to do something on November 2?
No. Changes happen as individual policies transition. Most existing policyholders do not need to take immediate action on November 2.
Commissions
Is commission reporting changing?
During the transition, agencies should expect separate commission payments and statements from the current and new systems. Together, they represent commission activity across both.
More commission activity will move to the new system as policies transition.
Will the two commission statements look the same?
No. The two systems produce different statement formats. Agents and agency accounting staff should review both during the transition.
Training & support
Where can I find training?
Agent training includes short guides for Commercial and Dwelling Fire applications, Homeowners applications and straight-through binding, endorsements, and bill payments.
Review the tasks relevant to your work and keep the guides handy after launch. There is no need to complete one long course.
Are claims changing?
There is no significant new agency claims workflow at launch. Farmers Fire handles claims in the appropriate system based on the policy term; agents do not need to choose the system.
Do I need a different browser or computer?
No new browser requirements are being introduced with this transition.
Do I need to change my Agent Portal bookmark?
No. Keep using your existing Farmers Fire Agent Portal bookmark.
What should I do before November 2?
